Move from Mailgun to xMailCloud

Phase 1

Phase 1 — Set up xMailCloud (no DNS changes)

• Subscribe and add your domain in the workspace
• Create every mailbox you need
• Save IMAP and SMTP settings from Mail setup
• Create an app password per mailbox for apps and phones

Nothing breaks yet. Your old provider still receives and sends.

Phase 2

Phase 2 — Test sending (SPF and DKIM only)

• Copy SPF and DKIM from the domain console — do not change MX yet
• Point one app at xMailCloud SMTP and send a test to Gmail
• In Gmail, open the message and confirm SPF, DKIM, and DMARC pass
• Migrate remaining apps from Mailgun SMTP one by one

Receiving still goes to your old inbox until Phase 4.

Phase 3

Phase 3 — Copy old mail (MX still unchanged)

• Use Import mail in the workspace (Business plan or above)
• Connect to Outlook, Gmail, or your real IMAP source — not Mailgun
• Wait for the first sync, then confirm messages in webmail

Mailgun is usually for sending only. Import from where inbox mail actually lives.

Phase 4

Phase 4 — Go live (switch receiving)

• Lower DNS TTL to 300–600 seconds twenty-four hours before cutover
• Change MX on the root domain to xMailCloud
• Update SPF to xMailCloud only — remove mailgun.org includes
• Remove Mailgun records on the mail subdomain

Only do this when Phases 2 and 3 look good.

Phase 5

Phase 5 — Verify and clean up

• Receive: send from an external address to your domain — check webmail
• Send: reply from webmail — confirm delivery
• Update phones and desktop clients with Mail setup credentials
• Keep Import mail running a few days, then cancel Mailgun
